This privacy policy will explain how the Chickasaw Nation uses the personal data we collect from you, when you use Chokwaa.
1. What data do we collect?
The Chickasaw Nation collects the following types of data when you sign up to Chokwaa: Personal identification information (required to create and secure an account): Full name, username, email address.
- Personal identification information (optional, may be provided at your discretion in order to further personalize your user experience): Phone number, birthday, profile photo, mailing and/or physical address.
- Demographic information (optional, may be provided at your discretion in order to further personalize your user experience): Occupation, Tribal Affiliation, Veteran status, Disability status, and/or Homeowner status.
- Anonymized usage data: Non-identifiable information about the platform’s usage, performance, and navigation based upon the user’s engagement with the platform, such as page views, session duration, and technical performance metrics. Its purpose is solely to ensure the platform functions reliably and gather usage feedback to support continuous improvement.
The Chickasaw Nation does not collect Social Security number or gender information during account creation. This information may be requested only when required for the purpose of applying for a specific program or service and will remain confidential; your informed and explicit consent will be required in order for us to disclose this information to third parties. We will not sell your data.
2. How do we collect your data?
The Chickasaw Nation collects your data through Chokwaa in the following ways:
- Directly from you: When you create an account, complete or update your profile, log in, or submit information while applying for programs or services.
- Through Background Processes: Through authorized third-party tools that collect anonymized usage data (such as page views, session duration, and performance metrics) when you interact with the platform.
- Indirectly: Through essential browser cookies used to support secure login sessions and platform functionality (see Section 8 for more details on cookies).
3. How do we use your data?
The Chickasaw Nation uses your data collected through Chokwaa to:
- Enable account creation, ensure secure access, platform navigation, and profile management
- Provide personalized recommendations for programs and services you may be eligible for (optional, you may opt-in or opt-out at any time from your profile)
- Pre-fill applications to Chickasaw Nation programs and services (optional, you may opt-in or opt-out at any time from your profile)
- Monitor and improve platform performance, reliability, and user experience through anonymized data captured by authorized third-party applications.
The Chickasaw Nation will not sell, share, share, transfer, or use your data for commercial benefit.
4. How do we store your data?
- Data you provide through Chokwaa is securely stored on on-premise servers operated and controlled exclusively by the Chickasaw Nation.
- Access to identifiable data you provide through Chokwaa is restricted to authorized Chickasaw Nation departments, and only for legitimate operational purposes such as reviewing and processing applications, and/or offering customer support when directly requested.
- Anonymized usage data collected through Chokwaa may be processed by approved third-party tools for analytics, performance monitoring, and reporting purposes only.
At this time users do not have the ability to request deletion of their account or data, but they may request a copy of their data saved on their profile by going to the 'Privacy' section on their Profile & Settings.
5. Who will access and use your data?
- Within the Chickasaw Nation: Designated Chickasaw Nation employees may access identifiable user data provided through Chokwaa solely for legitimate operational purposes, including reviewing and processing applications, and providing customer support when you request it.
- Outside the Chickasaw Nation: Anonymized platform-usage data collected through Chokwaa may be accessible by approved third-party tools and used strictly for analytics and performance monitoring purposes. This data does not include profile or application information and cannot be used to identify individual users.
Personal profile and application data is not shared with any external parties without your prior, informed, and explicit consent.
6. How do we use your data for communications and marketing?
Communications
- The Chickasaw Nation may use your contact information to communicate with you about your use of Chokwaa, subject to your consent.
- You may separately opt-in to receive email or text communications, including application status updates, account verification messages, and program announcements.
Communication preferences are voluntary, revocable, and governed by separate consent.
Marketing
- The Chickasaw Nation does not use Chokwaa for commercial marketing or advertising.
- Chokwaa does not send promotional communications on behalf of third parties and does not use marketing or advertising cookies.
7. What are cookies and how do we use them?
Cookies are text files placed on your device to collect standard internet log information and visitor behavior information. When you engage with Chokwaa we may collect information from you automatically through cookies or similar technology in order to support the Platform’s essential functionality. Chokwaa uses cookies only to support essential functionality, including:
- Secure login and authentication
- Session management and timeouts (keeping you signed-in)
Platform reliability and security
Cookies are not used for advertising or marketing purposes.

- No analytics, advertising, or marketing cookies are used.
